While generating an e-Way Bill (EWB) Vehicle number is optional. However, an e-way bill without the Vehicle number is not valid for the movement of goods. The e-way bill portal provides you with the option of updating vehicle numbers. The user can also update the vehicle numbers in bulk on the EWB portal. Here are a couple of scenarios the user can use this option in:

It is important to update the EWB as, at any point in time, should the e-way bill be checked by any tax official, the vehicle number should match with the vehicle carrying the consignment.

Step-by-step process to Update Vehicle Number on e-Way Bill

  1. Visit the EWB portal

    Visit the e-Way Bill Portal and log in to the portal. Navigate to the e-Way Bill option located on the left-hand side of the dashboard and click on “Update Vehicle No.” from the drop-down list.
    Note: If the Consolidated e-Way Bill needs an update of transport/vehicle details, select “Re-generate” under “Consolidated EWB” appearing on the left-hand side. The rest of the steps remain the same

  2. Update vehicle number

    Thus, we move to the “Update Vehicle Number” page. Additionally, choose either the “e-Way Bill No.” or the “Generated Date” option against the “Show e-Way Bill” section.e-Way Bill Portal - Update Vehicle No. Page

  3. Enter the required details

    Hence, the list of filtered EWBs will appear according to your choice. Thus, select the relevant EWB for which you want to update the vehicle number. Enter the following details on the page:
    1. The vehicle number
    2. Enter the starting point location under the “Enter From Place” section
    3. Select the reason for the change from the drop-down list
    4. Finally, enter the remarks if required

Therefore, the system updates the EWB with the new details instantly. In case any errors occur during the process, they are shown on the screen.

What has to be done in the EWB if the vehicle breaks down?

If the vehicle breaks down while transporting the goods with an EWB then the transporter can repair the vehicle and continue the journey with the same EWB. If he has to change the vehicle, then he has to enter the new vehicle details in that EWB, on the EWB portal, using the ‘Update vehicle number’ option in Part B and continue the journey in a new vehicle, within the original validity period of e-way bill.

If the goods having an EWB has to pass through trans-shipment and through different vehicles, how it has to be handled?

Some of the consignments transported through transshipment using different vehicles before they arrive at the place of destination of the recipient. Hence for each movement from one place to another, the transporter needs to update the vehicle number in which he is transporting that consignment in part B of the E Way Bill.

    Yes. All the registered persons under GST must register on the portal of e-way bill using their GSTIN. Once GSTIN is entered, the system sends an OTP to the registered mobile number, registered with GST Portal and after authenticating the same, the system enables you to generate your username and password for the e-way bill system.

    After the generation of the username and password of your choice, you may proceed to make entries to generate an e-way bill.

    The validity period of the e-Way Bill is calculated on the basis of ‘approx. distance’ entered while generating the e-Way Bill. For every 100 KM, one day is a validity period for the e-Way Bill as per rule and for part of 100 KM, one more day is added. For example, If approx. distance is 410KMs then the validity period is 4+1 days.
